Directly Reports to: C.O.O

Objective: To act as the Personal Assistant to the Chief Operations Officer, run the company recruitment (both interns & employees), contribute to the smooth operations of the Admin Department towards ensuring KPIs and team performance on the daily tasks.

Main Duties:

  • Personal Assistant (PA) to the Chief Operations Officer (C.O.O.);
  • Provide professional, high level and smooth client service;
  • Perform various Administration & Recruitment work associated with the department (Payment follow-up, Agreements & Legal, Office & Personnel administration, Office agenda, Internship Program coordination, Job descriptions & advertisements, CV screening & interviews, team building, etc ) at the highest level;
  • Follow-up on tasks assigned to him as well as coordinate tasks assigned to a small team (more than 5);
  • Ensure legal and business research on new legal and administrative requirements;
  • Support the development and design of a new method, system and resource;
  • Support preparations for Management & Board Meetings;
  • Provide internal trainings on department related matters;
  • Contribute to online and offline publications;
  • Contribute to the implementation of ISO 9001:2008 and ISO 13485:2003;
  • Participate to Obelis events;

Requirements Education

  • BA degree / MIM-Programs in Business Administration (MA, MSs, MCom)

Experience**

  • 3 to 5 years professional experience in the field of Business Administration;
  • Previous professional experience in recruitment;
  • Previous professional experience as executive assistant – an advantage;

Language(s)

  • Fluency in English (written & oral) ;
  • Fluency in French (written & oral) – an advantage;

Computer Skills

  • Proficiency at Microsoft word, Excel, PowerPoint, Outlook
