Full-Time Executive Assistant

Job Description

 

We are currently looking for a professional who will support our partner’s global director team and the office management. (Located in Budapest.)

Support the executive directors:

  • Supporting the global director team (5 person) by arrange appointments, meetings, conferences, including video and teleconferences
  • Business travel arrangement (hotel booking, transportation coordination, flight ticket bookings)
  • Arrange appointments, meetings, conferences
  • Daily administration and business travel expenses

Office management related tasks:

  • Organize internal and external company events (Global management meetings, Christmas dinner, any kind of teambuilding’s)
  • Manage incoming/ outgoing mail and courier services, copying, scanning and filling documents, managing calls
  • Coordinate any necessary repair and maintenance of the office with the landlord
  • VISA management
  • Hotel booking for guests
  • Welcoming costumers, guests, organize catering, coordinate the availability of meeting rooms
  • Daily contact with suppliers, place orders (office stationary, water, coffee etc.)
  • Car hire, transportation orders
  • Make sure the smooth office environment, support the team on daily basis (30 employees)
  • Support HR department in daily administration
  • Schedule medical health check appointments
  • Support new employees in first day integration
  • Support payroll related administration (attendance sheet, holiday permission)

Requirements:

  • 1-3 years experience of executive management support or office management
  • Flexibility to adapt as priorities get changed/added/cancelled at short notice
  • Excellent and effective communication, written and verbal, at all levels
  • Able to work to tight deadlines and under pressure
  • Able to act on own initiative, proactive attitude
  • Excellent interpersonal skills
  • Willingness to learn / self-development
  • Problem solving and proactive attitude, able to work individually
  • Strong MS Office skills including
  • English knowledge is mandatory
