Job Description

To lead and manage the resources to deliver IT/SW BC projects in time, cost and quality according to the contractual obligations, with a high level of professionalism. Ownership and responsibility to shape the project for successful delivery within the agree tolerances set out by the project board.

To ensure that quality and risks are controlled, including regular reporting, notifications, contract variations and that relationships and communication are maintained with all key stakeholder whilst ensuring customers’ expectations are managed throughout the project lifecycle.

To support the Bid Management Team with expert contribution into the delivery approach, Project planning, risks and issues and justifiable provision for contingency.

Key Responsibilities & Scope for Decision Making

– Responsibility for providing Approach, Planning and Service estimates into the bid process

– Publishing the Project Initiation Document (PID), to include the following:

– Signed Contract and associated appendices (provided by Bid Manager)

– Baseline Project Plan (Gantt Chart & Project Delivery Description)

– Resource Plan

– Project Organisation Plan including Project Board (where appropriate)

– Communication Plan including Key Contacts List

– Frequency and content of Customer and Internal reporting

– Risks and Issues Register

– Quality Assurance Plan

– Managing the stages and dependencies

– Acceptance Test Plan (provided by Technical Architect or Solution Architect)

– Product Flow Diagram/s (where appropriate)

– Training Plan (provided by Training Manager)

– Support Plan (provided by Bid Manager)

– Mobilising the project team and customer to deliver (Project kick-off, Outline scope)

– Responsibility for delivering within contracted Project scope

– Responsible for managing to the specific agreed contract terms

– Scheduling internal and external Project boards (Steering Committees)

– Timely escalation of issues needing Project board direction, inc use of contingencies and forecast overspends

– Managing the as loaded ‘Baseline’ equipment list (provided by Project Controller)

– Setting out communication of the Project Plan to the Customer, Project Team, Partners/Suppliers and any other relevant stakeholders.

– Specifying project roles, skillsets and requirements

– Planning and agreeing sufficient project resourcing with the Head of Project Management and Head of Professional Services.

– Directing and supervising allocated Project team members as required to deliver the project plan. Management of a project team of 10-30 people including, Solution Architect, System Engineer/s, Project Controller, several individuals from 2 to 3 partners/vendors, Local Support Engineers, Wiring Supervisor and team. Plus internal support from, Trade & Finance, Logistics, Contracts, Training, Support Services.

– Responsibility for regular project status reports and formal minutes from customer, partner/supplier and internal meetings.

– Regular reporting of progress vs. plan, risks & issues to senior technical and board level

– Ensuring that Customer dependencies are communicated and scheduled (equipment, Interfaces, resources, tools)

– Forecasting Monthly spend and cost to complete against remaining planned activity

– For the maintenance of the Risks & Issues Register and managing the associated containment/mitigation plans. Communication of risks to relevant stakeholders.

– Ensuring regular risk reviews are held internally with the Solution Architect & Engineering team and Partner Senior Management. Ensuring Risk / Margin reviews are held with Solutions Business Senior Management.

– Reporting issues and actions to resolution or options for project board selection

– For the maintenance of Costs to Complete column of the relevant Profitability Report/s and Margin Improvement Opportunity Improvement Plan. The Project Manager will attend and contribute input (Services forecast, change requests on the horizon, etc.) to the monthly Project Financial Review meetings with the Project Sales officer and Finance Analyst assigned.

– Ensuring that that relevant contractual obligations are fulfilled, including regular reporting, notifications, contract variations, etc.

– Responsible for the handover of successful projects to the responsible Support Team such that it is clear which parties are responsible for the closure of all open issues / exceptions.

– For the Quality Assurance of the project delivery; this is to include the quality control and management of specific reviews with the relevant management.

– Responsibilities:

– To produce product contract variations (Change Requests), including margin analysis with support from the Engineering Team & Project Controller. The variations together with an explanation of the changes are to be presented to the responsible Sales Manager (or Opportunity Owner) for approval prior to presentation to the customer.

– Liaise with the Project Controller to ensure that equipment inventory delivered to Near Just In Time (N-JIT) to minimise the work in progress inventory holding.

– Support the Bid Management Team with expert contribution during specific bids, to include Project Gantt Chart, Project Delivery Description, Services & Materials Estimates, Project Delivery Risk Analysis & Mitigation, QA Review, etc

– Willingness to travel significantly across Europe and Japan

Qualifications & Experience

– First or Upper Second Engineering Degree/HND or equivalent (Broadcast Technology, Computer Science, Software or Electronics)

-Understanding the Broadcast / Media operations and Workflows

– In-depth Broadcast / Media Industry experience

– Language qualifications: very good English and a second 2nd Continental European Language, verbally & written

– Significant demonstrable experience in the Project Management role deploying complex BC IT/SW driven projects, preferably involving SW development and integration

– Prince 2 Practitioner (or equivalent qualification)

– Managing Successful Programmes (MSP) – Desirable

– Experienced practitioner of MS Project or equivalent and MS Office based tools

– Ability to manage across multi-level organisations Internal and External

– Must speak German and English and having Italian is highly desirable
