Full-Time Relocation/Accomodation Manager
Job Description
Our prestigious multinational partner has a highly mobile workforce and relocates a large number of associates internationally every year for project and career reasons. Due to significant business growth in Europe we are seeking a highly confident person, with in-depth knowledge and experience in corporate relocation/accommodation, to develop, implement and manage our relocation and housing policies and processes.
Roles and responsibilities
Corporate Policies
- Understand changing business needs for relocation and accommodation support
- Define, implement and oversee operation of customized relocation and accommodation processes and policies for each country, with standardization of common elements
- Communication of relocation and accommodation service related changes at the Company – making sure staff are aware and adhere to policies and procedures
- Regularly review and update processes and policies as required in different countries (identify inconsistencies, investigate best solutions)
- Identify KPIs to track all elements of the relocation process so that the cost and effectiveness of the policies can be understood
Internal Support
- Build and maintain productive working relationships with colleagues from various stakeholder groups within the Company (Administration, Global Mobility, Travel, Procurement, HR, Project teams, Country managers, etc.) to coordinate and plan the accommodation / relocation related services
- Ensuring relocation support and accommodation provided meets the company’s needs in each country
- Support Admin teams to manage the operations of the existing accommodation programs across the region by (i) Overview the assignment of individual employees to appropriate accommodations across the region, be the point of escalation and (ii) maximize occupancy of committed accommodations, monitor usage, (iii) support effective management of third party vendors
- Promote the implementation of new, more efficient procedures and policies, guide the team during the change
- Design and implement a relocation/accommodation management solution to standardize and optimize the process to deliver and track relocation support to associates
Accommodation/Relocation management
- Research and understand accommodation markets in different European countries
- Competitively source, establish and maintain relationship with professional vendor profiles best responding to the company’s needs (cost efficiency)
- Deliver services according to best practice and comply with agreed KPI’s
- Close cooperation with all stakeholders to ensure proper implementation
- Setting up controls and SLAs to ensure services are competitive, efficient in line with Company requirements and policies (timelines, accommodation quality, location, tenancy contracts and agreements, etc.)
Others
- Follow up on miscellaneous case management (exceptions, escalations, lease agreements mitigation, resolve issues with Landlord, and Vendors, and projects, etc)
- Budget control, cost management, planning, reporting and administration
- On a case by case basis, you may have to assess individual relocation and housing requirements for VIP employees and advise or deliver best solution/service
Experience and skills required
- 10 years relevant experience
- Skilled and experienced in negotiating and reviewing leases and service contracts is essential
- Ability to work autonomously, be confident and decisive
- Strong knowledge, understanding and experience of the Continental Europe housing sector, including serviced accommodation providers, and relocation agents
- Good oral and written communication skills, including fluency in English. Knowledge of other European languages is advantageous
- Strong customer service orientation
- The role requires some experience working with different cultures ideally across European and India / US
- A depth of experience working with globally mobile employees
- Strategic planning skills
- Process change and improvement driven mentality
