POSITION TITLE: Â Accommodation Booking Assistant
REPORTS TO: Purchasing Manager
DAY by DAY SUPERVISION: Accommodation Administrator
Weekly working hours: Full time
POSITION SUMMARY:
Under the supervision of Accommodation Administrator, the Accommodation Booking Assistant ensures groups reservations and accommodation in HB department through prompt,
effective and proper reservations service to achieve maximum rooms availability/revenue on assigned destinations.
Accommodation Booking Assistant DUTIES AND RESPONSIBILITIES:
- Having knowledge of entire Reservation Procedures and System according to company’s and standards
- Responsible for groups accommodations and reservations under Accommodation Administrator’s supervision
- Handling of correspondence with AMs and After sales staffs
- Review of reservations booked
- Review RL and general arrival procedures
- Responsible for given destinations under Accommodation Administrator’s supervision
- Responsible for implementation of current and new accommodation policies and procedures
- Responsible for inserting rooms group rates, info and group details both in system as in general correspondence and/or manual files
- Work with Sales Department/ AMs in regards to accommodation requests and confirmed accommodation bookings
- Knowledgeable in hotel and guest room facilities/services and ensures reservations are equally knowledgeable
- Keep accommodation booking requests/response time within 24-48 hrs
- Coordinates group reservations activities with the Sales Department, Accommodation Administrator and Purchasing Manager
- Follows up requests, bookings and update daily reservation status
- Reviews no-show and cancelled reservations and processes charges according to company’s policy
- Accomplishing general Group Reservations requested and needed renegotiation
- Responsible for own weekly work schedule as informed by Accommodation Administrator
- In general, perform any other office duties might requested by Accommodation Administrator advised within the accommodation department with previous knowledge of PurchasingManager
Previous Experience:
1-2 years of experience as Hotels / Reservations responsible or Assistant in Reservations at any level or any equivalent combination of training / experience is desirable.
