Full-Time HR Service Administrator and Customer Service Representative: French-German or French-Dutch

The HR Service Administrator has the responsibility for a process administration within a country or across several countries for one or more assigned HR processes. Employee Data Management (EDM) and Employee Admin consist of different cross-process transactions including: Employee Data Management, Organization Data Management, Generic Life Event Management, Absence Admin, Exit. It also includes standard and ad hoc bulk reporting. EDM and Employee Admin is one of the more complex and diverse series of processes, which also involves self-service, document validation, document retention. It also is the driver for downstream processes like payroll and therefore has a pivotal role with significant direct performance impact. The HR Service Administrator within EDM department has the responsibility for various processes (including employee record changes, master data maintenance, employee correspondence and reporting) within a country or across several countries.

The Customer Service Representative (CSR) supporting a specific country/ies should be fluent in the relevant language/s.
As an IBM HR Customer Service Representative, you’ll work with client HR teams from countries around the world to help resolve important issues related to employee concerns and queries. As an HR Contact Center Representative, you’ll perform first and second level support, receiving questions from direct calls and emails, plus handling more difficult, time-consuming queries as well.

Your primary responsibilities as HR Service Administrator will be:
– Act as a contact point for Managers and employees for all HR transaction related queries
– Take ownership of the resolution of clients’ issues giving guidance
– Communicate effectively to our customers on HR Transactions policies and processes, providing education where necessary
– Support the HR Specialist Teams with the administration of policies
– Update the HR database with certain employee details/detail changes
– Enter HR related changes into ERP system and perform relevant data checks verifying that information is complete and correct
– Create/Maintain/Delimit Organization Units /positions / Jobs in ERP system
– Onboarding
– Identify trends and areas of improvement and pass recommendations to Specialist Teams or Process Owners
– Perform and document regular compliance testing and quality assurance tests in accordance to the Business Controls guidelines relating to the EDM processes
– Help identify the impact of the changes proposed by the HR Partner/Finance, etc. Any additional project work or duties

Your primary responsibilities as a CSR will be:
– Handle telephone calls and e-mail queries
– Take ownership of the resolution of callers’ issues, giving guidance and solving problems at the first point of contact whenever possible within the target response time.
– Follow business controls guidelines, corporate instructions and internal processes
– Communicate effectively to our customers on HR policy and processes
– Work as a member of a team to minimize customer wait times, maximize customer satisfaction and response accuracy
– Support other HR Departments with any other activities upon management request
– Ensure productivity and high level occupancy
– Accountable for the SLA/ Customer Satisfaction results of the country/ies supported
– Develop a strong knowledge of department, Business Unit and overall business strategy with a view to operating as a knowledge expert.
