Job Description

Leader for Procurement Support Services and Customer Set-Up activities to Nalco businesses, based in the Budapest Shared Services Centre (BSSC).

The aim of the position is to effectively lead and manage the teams to deliver services to internal and external customers, meeting or exceeding defined service level commitments, ensuring staff are well trained and have opportunities to develop and add value through experience in their roles. The manager should seek to develop services offered by the group by adopting best practices, applying benchmarking reviews and searching for service/ efficiency developments, anticipating changing business requirements and proactively seeking and applying improved processes, procedures and new ways of working.

The Procurement Support team assist in master data maintenance for supplier agreements, Purchase Order Placement for some activities and in handling vendor queries. In addition, third party supplied order to Nalco customers are triggered and managed by a sub-team in this group. The team cover European operations, requiring full language support.

The Customer Set-Up Team are responsible for handling master data set-up and maintenance for customers, functional structures (districts and territories).

The position is located in Budapest, Hungary and reports to the Director, Budapest Shared Services Centre.

Essential Duties and Responsibilities:

Main responsibilities are:
– Manages Procurement Support and Customer Set-Up, taking overall responsibility for work processes, people management and delivery of agreed service levels for the groups.
– Leads customer satisfaction monitoring and development via establishing robust lines of communication with customers served and defining & implementing methods to track satisfaction rates and manage gaps in satisfaction.
– Defines in conjunction with principal customers service level agreements, incorporating appropriate measurements and reporting systems for tracking KPI’s towards achievement of the SLA’s.
– Develops best practice operational management procedures through benchmarking activities with top performing organizations. Actively seeks improvements and developments in work processes with reference to internal & external indicators and market data.
– Defines and leads projects and groups to develop work processes and apply improvements and efficiencies in work processes and procedures.
– Develop direct reports and, via supervisory levels, indirect people reports, by conducting annual performance reviews, documenting short term goals, mentoring, preparing development plans where necessary and ensuring training and development goals are pursued.
– Represents the BSSC as a member of cross-functional business process development teams.
– Undertake annual budget preparation process and effectively monitor spend versus budget in-year, making adjustments as necessary.
– Undertake situational analyses and project based support to the BSSC as may be required from time to time.
– Perform other duties as assigned.

Knowledge, skills and experience:

Able to lead and manage others and have excellent Emotional Intelligence. Intelligent, quick thinking. Ability to set priorities and manage time efficiently. Excellent analytical skills. Ability to structure own work in accordance with business needs and to be proactive in defining areas requiring attention.

Ability to liaise with staff in all parts of the organization and at all levels. Able to improve working efficiency through good working relationships and to extract the best from others.

Ability to express oneself effectively in both written and oral communication.

Knowledge of SAP is required. Prior Nalco experience is an advantage. An understanding of logistics processes is also desirable.

– Usefulness to management and business as a whole in effective leadership and management of team contributing to effective service provision, thereby ultimately contributing to operational profitability.

Working relationships and team working:

Works on a managerial level with other colleagues in a leadership team. In addition, needs to be able to work effectively with staff in other disciplines such as logistics, sales, marketing, procurement, manufacturing and planning.

Must have excellent working relationships with other operational staff to ensure most efficient transfer of information and hence best use to business as a whole. The ability to work with people of different nationalities and cultures and to liaise with staff at all levels is a prerequisite.
