Office Manager & Executive Secretary

Job Summary:
The candidate will work closely with senior managerial staff and the Managing Director; provide administrative and organizational support to the whole office.
Typical work activities
1. Devising and maintaining office systems, including data management and filing;
2. Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations;
3. Screening phone calls, enquiries and requests, and handling them when appropriate;
4. Organizing and maintaining diaries and making appointments;
5. Financial administration; correspondence with accountants / lawyers
6. Implementing and maintaining procedures/administrative systems;
7. Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
8. Producing documents, briefing papers, reports and presentations;
9. Organizing and attending meetings and ensuring the manager is well prepared for meetings;
10. Liaising with clients, suppliers and other staff.

Additional duties include:
1. Responsibility for accounts and budgets
2. Carrying out specific projects and research;
3. Deputizing for the manager, making decisions and delegating work to others in the manager’s absence;
4. Being involved in decision-making processes.
5. Recruiting and training junior staff and delegate some of the less demanding and confidential work to them
6. Personal assistant to Managing Director, occasional translator duties

Candidate Requirements:
1. Fluency in Hungarian and good command of English;
2. Outstanding communication skills;
3. Confident user of Microsoft Office software;
4. Ability to work under pressure and to tight deadlines;
5. Good organizational and time management skills;
6. Excellent interpersonal skills;
7. Ability to work on your own initiative;
8. Honesty and reliability;
9. Attention to detail;
10. Flexibility and adaptability;
11. Discretion and an understanding of confidentiality issues

Vacancy type: Full-time
Salary : starting salary net 150,000,- HUF/ Month
